What actually happens in the first week of turning scattered team knowledge into a working, AI-augmented knowledge base.
“Set up a company brain in a week” sounds like a landing-page promise. Here is what the week actually looks like, day by day, for a 15-person team.
Day 1–2: structure before software
We create the vault — a folder of plain-text Markdown files — with a deliberately boring structure: an inbox for everything new, a wiki for what the team has agreed is true, and an outputs area for work in progress. Then we migrate the first hundred notes out of Notion and Google Drive. No AI yet. Structure first, because agents amplify whatever structure they find.
Day 3–4: capture without friction
The point of a knowledge system is that nobody has to remember to use it. We wire the team’s chat into the inbox: a decision made in a thread gets forwarded with one emoji reaction. Meeting notes land automatically. By day four, knowledge arrives without anyone “doing knowledge management.”
Day 5–6: the first agent, on a leash
An AI agent gets read access to the vault and one job: every night, turn the day’s raw inbox into clean, linked notes — and flag anything that contradicts the wiki. Every write it proposes goes through human review. The team wakes up to a digest, not to silent changes.
Day 7: champions, not admins
Three people learn the linking and review workflow deeply. Not administrators — examples. When colleagues see a champion find last quarter’s pricing decision in ten seconds, adoption stops being a policy problem.
What you have after a week
A searchable, linked, offline-capable knowledge base that grows nightly, owned entirely by you — plain files on your machines, no per-seat subscription, no vendor database. Over 10,000 organizations already use Obsidian at work; the difference here is the operations layer around it.
The next two weeks add automation depth: meeting transcription, weekly KPI reports written into the vault, and per-department templates. But the brain is alive on day seven.
